Deaf and hard of hearing students work with a
DSS counselor and the Interpreter/Scheduler to
arrange those auxiliary services required to access
De Anza educational programs.
Interpreting and Captioning
Services
Sign language interpreters and real time captioners
are available to provide communication access
for:
classes and labs
required class-related activities, such
as field trips
instructor conferences
tutorial sessions
appointments on campus for necessary college
business
Effort is made to match interpreter style with
student needs. Interpreters are required to follow
the Code of Ethics. Captioners are asked to follow
similar professional standards. If a problem develops,
or you have a concern about your services, it
should be brought to the attention of the Interpreter/Scheduler
as soon as possible.
In addition, students are asked to fill interpreter
evaluation forms at the end of each quarter. These
evaluations and your feedback help to improve
the services. Questions or concerns on about how
to use an interpreter/captioner should be addressed
to the Interpreter/Scheduler and/or your counselor
who can advise you. If your interpreter has concerns,
he/she may also bring these to the attention of
the DSS office for resolution.
Steps to arrange for
Interpreters or Real Time Captioners for classes
and labs:
1. Complete the disability verification
and intake process.
2. Register for classes during the priority
registration period.
3. Submit a Services Request form specifying
your service preference.
4. Read and sign for receipt of Interpeting/Captioning
Services Policy and the Student Responsibilities
form.
Steps to arrange services
for required out-of-class activities:
1. Complete the steps listed above.
2. Submit a Interpreter Request
Form, available on Deaf Service bulletin
board or from the office to the Interpreter/Scheduler
at least five (5) working days in advance.
Steps to arrange services
for final exams:
1. Complete the steps above for regular services
during the quarter.
2. Interpreters and captioners will not
attend final exam sessions, unless special arrangements
are made at least two (2) days in advance.
NOTE:
For a campus activity that is not part of your
class requirements, check with the Interpreter/Scheduler.
DSS is responsible only for classroom related
needs. The scheduler will tell you how to request
services for other events.
Policy on Interpreting/Captioning
Services
General Provisions
Services are provided only for enrolled
courses and for students whose
Services are provided for students whose
disability verification is both current and supports
the need for the service and who have completed
the intake process.
Effort is made to honor the students
preference for communication method. However,
when required, we may need to offer a comparable
service or determine other alternatives to meet
access needs.
Requests for services for out of class
needs may not be filled if they are filed with
less than five (5) days notice.
Changes in class schedule at any time
during the quarter should be promptly reported
to the Interpreter/Scheduler, or they may result
in a service delay or count as student no-shows.
Late registration (after the early registration
period) or student-initiated schedule changes
may result in a service delay, even after the
quarter begins, of five (5) instructional days.
Late Policies
Student and interpreter are to wait for
the following time periods:
--For classes lasting up to one hour, wait for
20 minutes
--For classes up to 2 hours, wait for 30 minutes
--For classes 3 hours in length or longer, wait
40 minutes
When a student anticipates being late,
they should call the Deaf Services or DSS office.
Otherwise, the service provider will leave after
the waiting period and DSS will count you as a
no show.
If a service provider does not show up,
the student should write a short explanation to
the teacher and come to the office or have someone
call from the classroom. Deaf Services will assign
a substitute if possible.
Student Responsibilities
& Notification Requirement Policies
NOTE:
Interpreters are professionals who commit their
time to the hours they are scheduled. Students
are required to notify Deaf Services when they
miss class.

Notification should be made according to
the following timelines:
a. Planned Absences:
These require a twenty-four (24) hour advance
notice. If you know in advance that you will be
unable to attend a class and call at least 24
hours in advance, we can cancel services and we
will not be required to pay for the service. Your
advance notice will help us save our resources.
b. Emergency Absences:
These require a two (2) hour advance notice. If
something unexpected occurs and you cannot give
a 24-hour notice, call at least two hours in advance.
With at least two hours notice, we try to reassign
the interpreter.
c. First Day of Quarter Absences:
If we are not informed prior to the start time
for the class, the interpreter may be transferred
to another class.
No Show Penalties
If you are absent without notifying us within
the required time frame, the absence will be counted
as a no show.
These will be handled as follows:
a. 1st No Show:
A verbal and a written reminder of the notification
requirements and no show policies will be given.
b. 2nd No Show:
Interpreter services for the class involved will
be suspended until the student calls to notify
they are returning to class. To receive services
for the next class meeting, the call must be made
before 5 p.m. the day before. The student will
need to meet with the DSS counselor.
c. 3rd No Show:
Services will be suspended for the remainder of
the quarter. To be reinstated, the student will
need to follow the appeal processes. (See Section
2 Legal Aspects, Suspension of Services and Concerns
& Complaints,)
Note-taking Assistance
Notetakers are arranged in the same way that students
with other disabilities arrange them. (See Section
2, Academic and Classroom Accommodations &
Services, Notetaking).
Captioned Videos
De Anza has an on-going program to closed caption
instructional video materials. The Distance Learning
program is captioning courses delivered by video
or recorded for future instructional use. Currently,
The Distance Learning Course schedule marks those
courses that are captioned.
Steps to Request a Captioned
Video:
1. Contact the Interpreter/Scheduler as
soon as you are aware of your need for a captioned
video.
2. The office will work with the instructor
to make available a captioned video and decoder
to be shown in the class, if possible.
3. If you request a video from the library
that is not yet captioned, you will have to fill
out an Alternative Media Request form available
from your DSS counselor/advisor. The Interpreter/Scheduler
and alternative media specialist will determine
the feasibility and time line necessary.
4. DSS reserves the option to offer an
interpreter or transcript as a substitute, if
necessary.
Assistive Listening Devices
Assistive listening devices may be borrowed from
the program for use on campus only.
The Interpreter/Scheduler can demonstrate how
to use these devices to people who are not familiar
with them. Some large lecture classrooms are also
equipped with in-place assisted listening systems.
Steps to Borrow an Assistive
Listening Device:
1. Complete the disability documentation
and intake process.
2. Register for classes during the priority
registration period.
3. Submit a Services Request form specifying
your service preference.
4. Complete an Equipment Loan form.
5. Follow the guidelines for pick-up and
drop-off of the device listed on the Loan form.
6. If you do not follow Loan form instructions,
you may be required to meet with the DSS counselor
and Interpreter/Scheduler and your services may
be suspended.
IMPORTANT NOTICE:
Assistive Listening Devices are NOT to be removed
from campus for any reason. Doing so will suspend
your services for the remainder of the quarter.
To reinstate service, you will be need to follow
the College Grievance Procedure. (See Section
2, Legal Aspects, Suspension of Services)
Communication Resources
Teletypwriters for the Deaf (TTY-equipped
telephones):
TTYs are available for student use on a
number of public telephones on campus, including
near Seminar Building, the Library, Administration
and Campus Center. Please see De Anza map for
their exact locations. Campus services in a number
of locations have TTY access. These are also listed
in regular campus phone directories.

Students are encouraged to use e-mail for communication
needs. De Anza e-mail addresses are listed on
the web site and in the campus phone directory,
or can be obtained from the DSS office.
Bulletin Board:
The Deaf Services' bulletin board (located next
to Seminar 7c) may be used to leave and pick up
written messages to interpreters and/or other
students.
